How to schedule Instagram posts, Reels and Stories
Schedulely publishes Instagram feed photos, carousels of up to 10 items, Reels and Stories automatically at the time you pick, in each client's own time zone. You write the post once, check it against a preview of the real profile grid, choose a time and Schedulely posts it for you, free during early access.
Comments, DMs and mentions from the same account then arrive in one Instagram inbox, so the work after posting happens in the same place.
Free during early access.

What can you schedule on Instagram with Schedulely?
Schedulely schedules four Instagram formats: single feed photos, carousels of up to 10 photos and videos mixed, Reels, and Stories made of photos or videos. Each client connects 1 main Instagram account, and every post publishes on its own at the chosen time, with no phone reminder and no manual tap.
The formats follow what Instagram's Content Publishing API allows outside the Instagram app. Inside the app you can build a carousel of up to 20 photos and videos, but the API that every scheduler has to use caps a carousel at 10 items. Schedulely works to the API number, so a carousel is never accepted on the calendar and then refused at publishing time.
Feed photos are cropped to 4:5, the tallest shape the feed shows, and you can change the crop before you schedule. A Story can hold several frames: they go up in order, 1 minute or 1 hour apart, so a sequence reads the way you planned it.
Media comes from your computer, your phone, a Google Drive link or the client's library of earlier posts. For Drive, set sharing to Anyone with the link and the file downloads for you, which saves a trip through your camera roll when a designer hands over a folder.
| Post type | Official limit | How Schedulely handles it |
|---|---|---|
| Feed photo | 8 MB per image; JPEG, width 320 to 1440 px, aspect 4:5 to 1.91:1, sRGB | Cropped to 4:5 for the feed, crop editable |
| Carousel | 10 items through the API | Photos and videos mixed in one post |
| Reel | 3 seconds to 15 minutes; 300 MB | Published as a Reel at the scheduled time |
| Story | Video 3 to 60 seconds, 100 MB max, 9:16 recommended; photo JPEG, 8 MB max, 9:16 recommended | Several frames go up in order, 1 minute or 1 hour apart |
| Caption | 2,200 characters, 30 hashtags, 20 @ tags | Applies to feed posts, carousels and Reels |
Limits come from Meta's official Instagram documentation and can change. The sources at the foot of the page link to each one.
How do you schedule an Instagram post with Schedulely, step by step?
Pick the client, add your photos or video, choose feed post, Reel or Story, write the caption, check the grid preview and pick a time. The post appears on the calendar in that client's row and in their time zone, and Schedulely publishes it at that minute without anyone opening Instagram.
- Start a new post. Choose the client, then add media from Gallery or Files, paste a Google Drive link or reuse something from the client's library.
- Pick the format. Feed post, Reel or Story. A carousel is a feed post with 2 or more items.
- Write the caption. Instagram allows 2,200 characters, but only the opening lines show before people tap for more, so lead with the point.
- Check the grid. The grid preview shows the client's real profile with your planned posts on top, so you can see whether three dark images will sit side by side.
- Choose a time. Times follow the client's own time zone, so 09:00 means 09:00 where the client is.
The post then waits in Upcoming. If it fails, it moves to Failed straight away and 1 tap retries it. If the Instagram account signs out, the post waits safely and goes out after you reconnect.
When is the best time to post on Instagram?
No single time suits every account, and the large studies disagree. Buffer found Thursday at 09:00 and Wednesday at 12:00 strongest, Later found 05:00 best overall, and Hootsuite pointed to Monday afternoons and evenings. Treat these as starting points, then judge them against your own audience.
All four studies below report local time, so 09:00 means 09:00 for the people following the account.
- Buffer looked at 9.6 million Instagram posts and found Wednesday the strongest day, then Thursday and Tuesday, with Friday and Saturday weakest. Evenings from 18:00 to 23:00 did well on most weekdays.
- Sprout Social favours Monday to Thursday, with windows such as Tuesday 13:00 to 19:00 and Wednesday 12:00 to 21:00.
- Later, using over 6 million feed posts, puts the overall best time at 05:00 and suggests 06:00 to 08:00 and 19:00 to 21:00 for Stories.
- Hootsuite, working with Critical Truth, names Monday, Tuesday and Thursday and calls midnight to 04:00 the worst stretch.
Where they agree is midweek. Where they differ is the hour, which is why testing matters. Schedulely does not offer Instagram analytics, so compare results in Instagram's own insights, then keep the slots that work on the calendar.
What else does Schedulely do for Instagram besides posting?
Instagram is the network Schedulely goes deepest on. Besides publishing, it shows a grid preview of the real profile, gathers comments, DMs and mentions into one inbox with simple labels, keeps an outreach list for people you message by hand and builds a link in bio page for each client.
The inbox puts comments, DMs and mentions in one list and labels them with simple word rules, not AI: Complaint, Lead, Question, Praise, Promotions, and Scam and spam. If you change a label by hand, it stays. From any item you can reply in public, hide a comment or send a private reply, which is a DM that answers a public comment, once per comment and always sent by a person.
Automations cover the repetitive parts: a welcome reply to a first DM, an after hours reply, and keyword rules that label, hide, reply in public, assign or notify. Teams can assign items, leave notes, mark VIPs and share work by round robin.
Speed matters here. Sprout Social reports that about 3 in 4 consumers expect a response within 24 hours or sooner, so scheduling a post is only half the job. Outreach keeps a list of people to contact, and the counter suggests slowing down at 20 new messages a day.
What can't Schedulely do on Instagram yet?
Schedulely does not schedule a first comment, save hashtag sets, show Instagram analytics or send an automatic DM when someone comments a keyword. Carousels stop at 10 items because of Instagram's API, and each client has 1 main Instagram account. If you need any of these today, another tool will suit you better.
It is better to know the gaps before you plan a month around them.
- First comment. Not available. Put hashtags in the caption instead.
- Hashtag sets. There is no saved list of hashtags to drop in.
- Analytics. Schedulely has no Instagram insights or reach reports. Use Instagram's own insights.
- Comment to DM. A keyword comment does not trigger an automatic DM. A private reply exists, but a person sends it.
- AI tagging and reply drafts. Marked Soon, not live.
- Ad comment moderation. Marked Soon, not live.
- Calendar drag and drop. Not available; change the time on the post.
- Store apps. The iOS App Store and Google Play apps are coming but not live. Use the web app, add it to your iPhone home screen from Safari, or install the Android, Windows or Mac app.
None of these affect scheduled posts themselves, which publish as described above.
What makes a scheduled Instagram post work well?
Plan in the shapes Instagram favours, write the first line for people who never tap for more, and keep the grid in mind as a whole. Scheduling a week at once helps here, because you see how posts sit next to each other before any of them go live.
- Use the tall shapes. A 4:5 feed photo takes more of the screen than a square. For Reels and Stories, Instagram recommends 9:16; its full video spec is 0.01:1 to 10:1, 9:16 recommended; max width 1920 px; 23 to 60 fps.
- Keep Story videos short. Each Story video must run 3 to 60 seconds, 100 MB max, 9:16 recommended, so cut longer clips into frames and let Schedulely post them in order.
- Hashtags with restraint. The ceiling is 30 hashtags, but a handful that describe the post honestly is easier to read.
- Plan the grid. The grid preview shows the real profile, so alternate colours and formats before anything posts.
- Batch the week. Bulk schedule lets you paste one row per post from a spreadsheet, fill in every time at once and save as drafts or schedule.
- Leave room to reply. Posting when someone can watch the inbox for the first hour means early comments get answers.
Who it's for, and who it isn't
A good fit if you
- Brands and creators who want feed posts, carousels, Reels and Stories to publish on their own
- Agencies running several clients' Instagram accounts, each in its own time zone
- Teams that answer Instagram comments and DMs and want them in one labelled inbox
- Anyone who plans the profile grid visually before posting
Not the right fit if you
- People who need Instagram analytics or reach reports inside the scheduler
- Accounts that rely on automatic comment to DM funnels today
- Anyone whose routine depends on a scheduled first comment or saved hashtag sets
Questions people ask
Can I schedule Instagram Reels for free?
Yes. Schedulely is free during early access, and Reels are included along with feed posts, carousels and Stories. The Reel publishes on its own at the time you set. When paid plans begin, Starter will be $9 a month for up to 3 channels, and you will be told well before anything is charged.
Does Schedulely post to Instagram automatically, or does it send me a reminder?
It posts automatically. Feed photos, carousels, Reels and Stories all publish at the scheduled time through Instagram's official API, with no push reminder and no need to open Instagram on your phone. If a post fails, it appears in Failed straight away and 1 tap retries it.
Can I schedule Instagram Stories with several frames?
Yes. Add several photos or videos to a Story and Schedulely posts them in order, 1 minute or 1 hour apart, so the sequence reads as planned. Each Story video must run 3 to 60 seconds, 100 MB max, 9:16 recommended, so split longer clips into separate frames before you schedule.
Why can I only add 10 items to an Instagram carousel in Schedulely?
Instagram's Content Publishing API, which every scheduler must use, caps carousels at 10 items, even though the Instagram app itself allows 20 photos and videos. Schedulely keeps to the API limit so a carousel never fails at publishing time. Photos and videos can be mixed in the same carousel.
Can Schedulely schedule the first comment on an Instagram post?
No. First comment scheduling is not available in Schedulely, and neither are saved hashtag sets. Most people put their hashtags at the end of the caption instead. Instagram allows 30 hashtags per caption, and Schedulely publishes the caption exactly as you write it.
Can I manage more than one Instagram account in Schedulely?
Yes, through clients. Each client has 1 main Instagram account, and you can add as many clients as your plan's channels allow. The week calendar shows a row per client in that client's time zone, and plans are priced by channel, never by seat, so adding teammates does not change the price.
