Social media management software for social media managers

Schedulely is social media management software built for the person doing the work: freelancers and in house managers who run several accounts or clients each week. It puts every client on one week calendar in their own time zone, takes a month of posts from a spreadsheet, gets client sign off from a link and gathers Instagram comments and DMs in one inbox.

It is free during early access and, once plans start, is priced by channel rather than by seat.

Schedulely does not offer Instagram analytics or insights reports, so performance reporting still needs another tool.

What does a social media manager need from a scheduling tool?

A social media manager needs to see every account in one place, load content fast, get approvals without chasing, answer comments before they go cold and show clients what was done. Schedulely covers each of those steps except performance analytics, which it does not offer, so plan to keep a separate analytics tool if clients expect one.

Whether you freelance for 6 small brands or manage 4 accounts for one employer, the week looks similar. Monday is planning, midweek is approvals and fixes, and every day has comments and DMs to clear. The tool you choose should remove the repetitive parts of that cycle.

Schedulely was built by SureSocial, a performance marketing agency, around that rhythm:

  • One planner where you write a post once, preview it per network and schedule it to any of 14 networks.
  • A posts list split into Upcoming, Drafts, Published and Failed, with a 1 tap retry when a post fails.
  • Safe waiting: if a client's account signs out, its posts wait and go out after you reconnect.
  • Workspace settings that hide the networks you never use.

This page is for the individual manager. If you run a team of several managers, the agency page covers seats, plans and team setup in more depth.

How do you manage several clients in different time zones?

In Schedulely each client has their own row in the week calendar, and each row runs on that client's own time zone. A post set for 09:00 for a client in Dubai goes out at 09:00 Dubai time, even if you plan it from London, so you never convert times in your head.

Time zones are a quiet source of mistakes for freelancers. A post meant for a Sydney lunch break that goes out at 03:00 local time is wasted, and the client notices. Schedulely avoids that by storing a time zone per client and showing the week calendar with one row for each.

Scrolling the week shows gaps at a glance: a client with nothing on Thursday, or two posts too close together. Media can come from your computer, your phone, a Google Drive link or the client's own library, so assets stay organised per client. For Drive, the file must be shared as Anyone with the link, and Schedulely downloads it when you add it.

Bulk scheduling suits the monthly batch many managers prefer. Build the month in a spreadsheet with one row per post, paste the rows in, add a Drive link as the fourth column for media, fill in every time at once, then save the batch as drafts for review or schedule it straight away.

How do clients approve posts and connect accounts without sharing passwords?

Schedulely sends clients two kinds of links. An approval link lets a client swipe right to approve a post or left to send it back with a note, with no login. A connect link lets them connect their own accounts through each network's own sign in page, so nobody shares a password.

Chasing approvals over email and chat is one of the biggest time sinks in client work. With an approval link, you send one URL; the client opens it on their phone and goes through the posts one at a time. Approved posts carry on to their schedule, and posts sent back arrive with the client's note so you know exactly what to change.

Getting access is the other headache. Asking for passwords is risky and often breaks two factor sign in. A connect link sends the client to a private page where they sign in to Instagram, Facebook, TikTok or another network on that network's own page. The account appears in your workspace without you ever seeing the password.

Some clients want more. Client logins, on the Pro and Agency plans once plans start, let a client see and run only their own account. Activity history shows who changed what, which helps when a client asks why a post moved or was edited.

How do you keep up with Instagram comments and DMs across clients?

Schedulely gathers Instagram comments, DMs and mentions into one inbox and labels them by simple word rules, such as Lead, Question, Complaint and Scam and spam. You can reply in public, hide a comment, send a private reply or use a saved reply. The inbox covers Instagram only; other networks are not included.

Community management is where a manager's day disappears. Opening each client's Instagram account in turn to check comments is slow, and urgent messages get buried under emoji replies. A single inbox with labels changes the order you work in: leads and complaints first, praise later.

The labels come from simple word rules, not AI, and if a label is wrong you change it by hand and it stays. Triage mode and bulk actions help you clear a busy morning quickly.

  • Saved replies answer the questions every client gets, such as prices, delivery and opening hours.
  • Keyword rules can label, hide, reply in public, assign or notify.
  • Welcome and after hours replies cover the first DM and evenings.
  • Alerts per device with quiet hours mean you are not woken at 02:00.

A private reply is a DM that answers a public comment, sent by a person once per comment. Automatic comment to DM is not available in Schedulely.

How do you report your work to clients or a manager?

Schedulely produces activity reports and X cost reports that you download as CSV or PDF, which show what was published and what X posting cost per client. It does not produce Instagram analytics or insights reports, so engagement and reach figures still need to come from the networks themselves or another tool.

Clients usually want two answers each month: what did you do, and did it work. Schedulely answers the first well. The activity report lists what was scheduled and published, and the history shows who changed what. You can hand the PDF to a client or drop the CSV into your own report template.

The X cost report exists because X charges apps for every post and every reply read. Posting to X is free during early access, then becomes a $10 a month add on. If you bill clients for costs, the report lets you pass that on accurately.

For the second answer, whether it worked, Schedulely is not the right tool today. It has no Instagram analytics or insights. Many managers pull reach and engagement from Instagram's own app or from a dedicated analytics tool and combine it with the activity report.

Link in bio pages are the exception: visits and link taps are counted without cookies, so you can report those directly.

Questions people ask

What is the best software for a freelance social media manager?

It depends on what your clients pay you for. If they want publishing, community management on Instagram and quick approvals, Schedulely fits well, with a calendar row per client, approval links and an inbox. If they mainly pay for analytics reports, a tool with built in analytics such as Metricool or Sprout Social is a better choice.

How many clients can I manage in Schedulely?

Plans are limited by channels, not clients. A channel is one connected account, such as an Instagram account or a Facebook Page. Once plans start, Starter covers up to 3 channels, Pro up to 10 and Agency up to 30. During early access everything is free, so you can set up all your clients now.

Can my clients approve posts without making an account?

Yes. An approval link opens in any browser without a login. The client swipes right to approve a post or left to send it back with a note, and you see the note beside the post. If a client wants ongoing access, client logins let them see and run only their own account.

Does Schedulely show Instagram analytics for my clients?

No. Schedulely does not offer Instagram analytics or insights reports. It offers activity reports and X cost reports as CSV or PDF, plus visit and tap counts for link in bio pages. For reach and engagement, use Instagram's own insights or a separate analytics tool alongside Schedulely.

Can I schedule posts in each client's local time?

Yes. Each client has a time zone, and the week calendar shows one row per client in that client's own time. A post set for 18:30 goes out at 18:30 where the client is, wherever you are working from. This applies to every network the client has connected.

Is Schedulely different from the agency plan page?

This page describes the day to day work of one manager. The agency page covers running a team of managers, seats and plans in more depth. Both use the same Schedulely product, and you can start on any plan during early access and move to a larger one later.
